- Keep scheduled backups of various software running in the panchayats and copy them to other computers every day. Also enter the hardware register once a month. Backups to CD put in
- Take necessary steps to carry out the updating of the Panchayat website. Update information on the website only with the permission of the Secretary.
- Publish all the tenders published by the Panchayat on the official website of the Local Self-Government Department.
- Take necessary steps to ensure earthing and correctness of computer wiring at least once in 6 months.
- Check the battery water at least once a month and take necessary steps to buy and refill it if necessary.
- Ensure that the computers using the software do not have an Internet connection and have a VPN/KSWAN connection. Every morning
- Enable VPN/KSWAN connection and take troubleshooting steps if any.
- Ensure that both the server computer and the front office computer are functional before starting the office operation.
- Ensure that anti-virus is installed on all computers and take measures to update anti-virus timely.
- To ensure that Networking/Electrification (UPS) activities in Panchayats are as prescribed by Govt. Update the information of people's representatives available on the Panchayat's website as changes occur.
- A Complaint Register shall be maintained separately for recording complaints regarding computers and other related equipment in the Panchayat Office. Phone numbers and e-mail IDs of suppliers of computers and peripherals and those involved in AMC should be maintained in this register
- If it is ensured that computers and other related equipments are available in the Panchayat AMC office, steps should be taken to take up AMC as per Government/Information Kerala Mission instructions from time to time.
- Every day upload the information in Panchayat Civil Registration, Service Pension, Sankhya etc. software to the website.
- All Panchayat employees and public representatives should be given expert training to handle e-governance related activities themselves.
- Accurately update and return various status formats provided by DDP Office Information Kerala Mission etc. to Technical Assistants regarding e-Governance.
- Understand e-Governance related information received as part of training and through e-mail, and sensitize the secretary and other staff on the subject.
- Take steps to implement software like hospital kiosks, e-filing etc. and evaluate progress if necessary.
- Birth and Death Registration -Take necessary steps to computerize old information, professional tax information, rent on land information and D&O information. (Provision of computers, training of data entry operators, timely reporting and resolution of software problems, taking necessary print outs for staff verification etc.)
- Unnecessary belongings are removed from the server room and the server is separated. Take precautionary measures.
- Software problems should be reported in writing (e-mail) to Block Technical Assistant or District Technical Officer of Information Kerala Mission.
- Take necessary action on computer problems in institutions handed over to Panchayats
- Attending review meetings called by the Information Kerala Mission to assess the progress of computerization, discuss issues and provide training on changes in e-Governance with the permission of the Secretary.
- All kinds of CDs in the office were put in a separate packet and written with names
